SCAW LIMITED is a Copperbelt-based foundry business specialized in the manufacture of grinding media, castings products and industrial oxygen and acetylene gases that was established in 1960. The company was originally owned by Anglo-American Corporation. In the early 1980s it became a subsidiary of the Zambia Consolidated Copper Mines (ZCCM). In 1998, the company was re-privatized, and it is currently owned by private investors who work closely with a management team of professionals.

The company is one of the largest foundries in Zambia and its administrative operations requires massive printing and scanning services among others.

SCAW Limited now seeks to engage the services of suitably qualified and experienced service providers in the outsourcing of printing and document imaging services for Scaw Limited.

The purpose of this Scope of Work (SOW) is to define the requirements and expectations for outsourcing printing and document imaging services for Scaw Limited. The outsourcing partner will be responsible for providing high-quality printing and document imaging services to the organization to support its operations.

1-OBJECTIVES.

The main objectives of outsourcing printing and document imaging services are to:

• Reduce operating costs related to printing and document imaging.
• Improve efficiency and productivity by outsourcing non-core IT activities.
• Enhance document security and confidentiality through print management software.
• Improve quality and consistency of printed and imaged documents.

2-SERVICES TO BE OUTSOURCED.

The following services will be outsourced to the selected vendor:

Management of printing and imaging equipment including supply of printing and imaging materials such as toner cartridges. Maintenance and repair of printing and imaging equipment. Document storage and archiving services.

2.1 Service Level Agreements (SLAs)

The outsourcing partner will be required to meet the following service level agreements:

• Turnaround time for printing and imaging requests: 4 hours
• Availability of printing and imaging equipment: 95%
• Quality of printed and imaged documents: 99% accuracy
• Document security and confidentiality: Compliance with industry standards and legal requirements

2.2 Reporting and Communication

The outsourcing partner will be required to provide regular reports to the organization on the following:

• Usage of printing and imaging services
• Equipment maintenance and repair activities
• Compliance with SLAs
• Any issues or concerns related to printing and imaging services.

3-CONTRACTUAL TERMS

The following contractual terms will apply:

• Duration of contract as per agreed SLA.
• Payment terms: Monthly invoices, based on actual usage of services.
• Termination clauses: as per agreed SLA

4- SELECTION CRITERIA

The outsourced partner will be selected based on the following criteria:

• Experience in providing printing and document imaging services to medium-sized organizations.
• Quality of equipment and materials used.
• Competitive pricing
• Availability of support and maintenance services
• Compliance with industry standards and legal requirements
