Closed Full TimeMac Staffing Solutions Limited is looking to employ a responsible Administrative Assistant to perform a variety of administrative and clerical tasks which include, providing support to our General Manager and employees, assisting in daily office needs, and managing our company’s general administrative activities. The Administrative assistant is to assist in front desk operations.
Main duties:
- Order office supplies and keep inventory of stock.
- Update calendars and schedule meetings
- Arrange travel and accommodations and prepare vouchers.
- Provide general support to visitors.
- Direct visitors to the appropriate person and office
- Organize and schedule appointments.
- Assist in the preparation and submission of business proposals.
- Develop and maintain a filing system.
- Answer and direct phone calls.
- Receive, sort and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access via the front desk.
- Perform other clerical front duties such as filing, photocopying, and transcribing.
- Ensure front desk area and the building in general is tidy and presentable, with all necessary stationery and material
- Support duties related to accounts payable and accounts receivable functions
- Assist with preparation of financial and statistical statements and reports
- Research and resolve discrepancies in a timely fashion
- Maintain confidentiality of all financial data
- Interpret and apply accounting policies, rules, and regulations to all work in order to ensure compliance with applicable standards
- Compile and prepare routine reports and summaries
Qualifications and Experience:
- Grade 12 School Certificate
- Diploma in business administration or Equivalent
- Driver’s license. (Added advantage)
- Candidate must possess excellent verbal and written communication skills
- Proficient to advanced knowledge of Microsoft Office Applications, including Excel
- Strong attention to detail and problem-solving skills
- Ability to work independently on assigned duties
- Demonstrates an ability to manage a variety of priorities while meeting deadlines
- Excellent time management skills and the ability to prioritize work.
- Working knowledge of office equipment, like printers
- At least 1 year of relevant, hands-on accounting and reception experience
