The Planned Parenthood Association of Zambia (PPAZ) is a non-governmental and not for profit organisation and is affiliated to the International Planned Parenthood Federation (IPPF). PPAZ in partnership with Japanese Organisation for International Cooperation in Family Planning (JOICFP) with funding from the Japanese Government through Ministry of Foreign Affairs (MOFA) will be implanting a project to advocates for Sexual Reproductive Health and Rights (SRHR) including Promotion of GBV prevention and care through community empowerment. The project is aimed at supplementing governments efforts in the provision of integrated Sexual and Reproductive Health services by working through the public facilities.

The PPAZ/JOICFP GBV Prevention and Care Project will be implemented in Kapiri Mposhi District and is seeking applications from qualified applicants to fill the following positions:

Finance Officer-One (1) Position

Location: Ndola

This position will provide the day-to-day financial support to projects’ staff to ensure they are compiling and documenting all transactions correctly. He/she will be responsible for accounting function involving receipts and expenditure, including general payments to meet the obligations of the respective projects. He/she will also be responsible for ensuring donor compliance, preparation of accurate financial reports and meeting deadlines for respective projects financial reports.

Key Responsibilities

  • Checks general payments and imprest ensuring that payments are duly authorised, accurately coded and numbered with appropriate backing sheets and relevant guidelines have been followed.
  • Ensure that all cashbooks are kept up to date and monthly bank reconciliations are regularly and timely prepared.
  • Produce accurate monthly project reports by the set datelines.
  • Prepare Donor and Management Financial Reports by the set timelines.
  • Prepare Financial Statements for audits with supporting schedules.
  • Establish and monitor the implementation and maintenance of accounting internal control procedures.
  • Ensure compliance to financial statutory obligations.
  • Analyze and advise on business operations including revenue and expenditure trends, financial commitments and future revenues.
  • Maintains liaison with Administration on all procurements to ensure that all payments are within the budget and available funds, and that service providers are paid on time.
  • Ensures that accurate records of all payments to Grant Partners are maintained and that they are accompanied by correct supporting documents including grant contracts for payments to Grant Partners.
  • Checks that grant disbursements are according to approved contracts and grant conditions to enhance accountability to Cooperating Partners.
  • Provide advice on local tax law applicable.

Qualifications and Experience

  • University degree or equivalent in Accounting, Finance, Business Administration, Public Administration, or related field (preferably in financial management);
  • Paid up member of any Accounting Professional body.
  • At least of 5 years’ experience in the management of financial systems and budgets, financial reporting, financial data analysis, auditing, taxation and providing financial advice.
  • Work experience with bilateral donors, especially those of Japan, would be an added advantage.
  • Detail-oriented, with experience developing and managing program budgets.

Key Skills

  • Excellent interpersonal skills and demonstrated ability to lead and work effectively in an insecure environment is critical;
  • Ability to use Microsoft Office software packages, especially MS Excel, and MS Word;
  • Ability to understand support the organization and project core values.
